MICROSOFT SHAREPOINT TO ENHANCE SHG COLLABORATION AND INTERNAL COMMUNICATIONS

 As part of the DfID-funded Public Sector Modernisation Programme, St Helena Government introduced a new records management system about a year ago, based on functionality provided by the Wide Area Network (WAN). This allows users to store and share information on an electronic network and has increased efficiency through staff and paper reductions and improved collaboration within SHG.

A year on, and the WAN is now being enhanced by the introduction of an Intranet connecting the entire SHG organisation through Microsoft SharePoint software. This development will greatly improve sharing and collaboration within and between Directorates and accelerate communications within Government.

All Directors are now ‘live’ on the system, and as SharePoint is rolled out across SHG they will be examining ways to expand their individual areas to keep colleagues informed of new information, key decisions and actions occurring within their Directorates. Within a matter of weeks every computer in SHG will have access to this new Intranet, greatly improving communication across the Public Service.

As a result, from today all Government press releases will be uploaded onto the front page of the Intranet site, enabling users to view information from a single source. The aim is to increase efficiency and cut down on the amount of email traffic generated when press releases are issued to SHG staff.

Microsoft SharePoint is a specialised system which enables users to connect and share information with their colleagues and co-workers. It allows collaboration between users including the creation of team calendars and alerts, and also enables users to view and comment on documents posted in the libraries created on the various intranet sites and pages.

SharePoint also includes a records management centre which enables electronic filing and storage of information and projects, which enhances information sharing and more efficient working practices.
